Describe the operating architecture
Give bidders the engineer-approved electrical single-line diagram, current demand and planned expansion stages. Explain normal and contingency operating modes, including how loads transfer between supplies. A “data center” label does not describe the loading of an individual transformer or establish that a standard catalogue unit is suitable.
Document the interfaces
Ask the project team to specify the UPS arrangement, nonlinear load information, protection coordination requirements and physical connection interfaces. State whether the installation is indoor or outdoor and provide ambient, altitude, ventilation and acoustic constraints. Make clear which figures are fixed project requirements and which are options suppliers may propose.
Request guarantees at meaningful conditions
Request rated capacity, voltage ratio, frequency, vector group, guaranteed no-load loss, load loss and reference conditions. Have the engineer specify impedance requirements. Compare quotations against the same operating scenario rather than choosing the smallest isolated loss number. Specify auxiliary loads and cooling modes where they affect the comparison.
Separate the product from the delivery plan
Ask for the proposed model and supporting reports, then request manufacturing lead time, drawing approval stages, factory acceptance arrangements and delivery responsibilities separately. Include access, lifting and maintenance constraints. Do not infer current lead time or stock from a project photograph on a manufacturer website.
Build a clear comparison record
For each bidder, keep a short schedule of compliant items, stated deviations, unresolved fields and supporting documents. A blank technical field is a question to resolve.
