Identify what the document actually is

A catalogue, factory declaration, management-system certificate and product test report serve different purposes. Start by recording the document type, issuer, date, identifier and named product. This is a procurement review checklist, not a reproduction of a technical standard or a promise that any report is authentic.

Match the proposed configuration

Compare the report’s model, rating, voltage arrangement, frequency, design revision and relevant materials with the quotation. Highlight differences instead of assuming that a similar model name means identical coverage. Where a report concerns a family, ask the supplier to explain how its scope applies to the offered configuration and have that explanation assessed by the responsible engineer.

Check the applicable standard

IEC 60076-1 covers general requirements for power transformers, with stated exclusions. The applicable parts, editions and additional project requirements depend on the equipment and contract. Ask the engineering team to identify the required test schedule; do not treat a reference to “IEC” on a marketing page as proof that every required test was performed.

Verify the issuer independently

Use the issuer’s own published contact or verification facility where available. Do not rely solely on contact details printed on a document supplied by the seller. Record exactly what was confirmed: report existence, covered model, date or test result. Verification of one point is not verification of all points. If independent confirmation is unavailable, retain that limitation.

Keep the review outcome specific

Store the source URL and review note beside the claim. A useful outcome says which fields are supported, which differ from the proposal and what remains to be requested.

Close the loop in the inquiry

Ask for the missing report or corrected configuration before final comparison. Keep each supplier’s response in its own project conversation so evidence is not accidentally attributed to another factory.
